Frequently Requested Records


Copies of all records, regardless of form or format, which have been released to any person under the FOIA and which, because of the nature of the subject matter, the agency offices determine what have become or are likely to become the subject of subsequent request for substantially the same records.


Links to Publicly Available Information

Some U.S. Coast Guard offices and units routinely post information for public access. These publicly available records do not require individuals to submit a Freedom of Information Act request.

Office of Investigations and Casualty Analysis (CG-INV-3)

The Office of Investigations and Casualty Analysis proactively posts records concerning marine casualty investigations, reports of marine boards, and other marine reports and studies.

U.S. Coast Guard Maritime Information Exchange

The Coast Guard Maritime Information Exchange, or CGMIX, allows users to check the status of marine casualty incidents in the Maritime Information for Safety and Law Enforcement database.

Users can search for report summaries and retrieve incidents matching their search criteria for completed Coast Guard investigations.

When an investigation is closed, the search results will include a report summary. To request a complete report, submit a FOIA request and reference the MISLE case number or activity number.

Procurement Records

The Federal Procurement Data System allows members of the public to access records concerning federal agency procurement actions and run reports using specified search criteria.

To request additional procurement records, submit a FOIA request and include the applicable contract number.

Personnel Service Center

Former Coast Guard members may review and download their military personnel records by signing in to iPERMS.

Personnel records for veterans discharged, retired, or deceased before October 1, 2006, are maintained by the National Personnel Records Center. Copies may be requested online or by submitting Standard Form 180.

Medical Records

Third-party requesters must submit a FOIA request and provide proof that the individual authorized release of their personal records.

Employment and Service Verification

Civilian Personnel Records and Employment Verification

The Coast Guard uses The Work Number for civilian employment verification. Additional information is available on the Welcome New USCG Employee webpage.

For assistance, visit The Work Number or call 800-996-7566. TTY users may call 800-424-0253. Agents are available Monday through Friday from 7 a.m. to 8 p.m. Central Time.

Good Order and Discipline Data

Good Order and Discipline Data is a compilation of disciplinary and administrative actions taken when Coast Guard military and civilian employees fail to uphold Coast Guard ethical, moral, and professional standards.

Although the military and civilian systems have different procedures, rights, and purposes, actions from both systems are included to inform the Coast Guard community about administrative, criminal, and enforcement actions.

The website provides Good Order and Discipline Data for the past ten years.

Homeport

Homeport is the U.S. Coast Guard's official online portal for engaging with members of the maritime public and industry stakeholders.

National Vessel Documentation Center

Executive Order 14247, Modernizing Payments To and From America's Bank Account, requires a transition to electronic payments. The National Vessel Documentation Center processes documentation requests and payments through its eStorefront.

Customers may use the eStorefront to:

  • Apply for an initial, replacement, reinstatement, or exchange certificate.
  • Apply for a return to documentation.
  • Renew recreational vessel documentation for one to five years.
  • Renew commercial or registry endorsements.
  • Renew fleet certificates of documentation.
  • Request an abstract of title or certified copy of documentation.
  • Change an address.
  • File a mortgage or related instrument.
  • File a satisfaction or release of mortgage or lien.
  • File a notice of claim of lien.
  • File a bill of sale or related instrument.
  • Request a deletion letter.
  • Request a certificate of ownership.

Requests for information that is not available through the eStorefront may be sent to EFOIA@uscg.mil or submitted through the DHS FOIA request portal .

USCG Approved Equipment (CG-ENG)

Approved equipment records are available through CGMIX. The live database displays current approval information for equipment and manufacturers. Users may search by equipment name or approval series.
